Activity records

In effect September 2, 2026

This notice is for anyone who uses this portal, opens an inspection report we sent, or receives a report shared with them — whether or not you have signed anything.

What we record

Our booking, portal, agreement, payment and report systems keep a record of activity relating to an inspection. That record holds:

  • The date and time of each thing that happens — a link requested, a page opened, an agreement initialed, a payment started.
  • The email address involved, and the portal account it belongs to where there is one.
  • The Internet Protocol (IP) address the request came from, and a description of the browser or device that made it.
  • For each message we send you: whether and when your mail provider accepted it, and whether a link in it was followed.
  • Each time an inspection report was opened, and for how long it stayed open.
  • Where a client shares a report through this portal: who it was shared with, and that recipient’s own activity on it.

What we do not record

  • Whether you opened an email. Our messages carry no tracking pixel of any kind. We can see that your mail provider accepted a message and that a link in it was followed, and nothing between those two things.
  • Which parts of a report you read. We record that a report was opened and for how long, not what you looked at inside it.

Why we keep it

  • To operate the service.
  • To establish what was delivered, agreed, paid for, and read.
  • To respond to a claim, a payment dispute, or a legal proceeding — and, for that purpose, to produce the record.

How long we keep it

We keep the record for seven (7) years after the report is delivered. After that, identifying details are removed.

Asking for a copy

You can ask for a copy of the record relating to your own inspection by writing to office@trustedhome.org.

If you signed a Pre-Inspection Agreement, Section 6.9 of it says the same thing and is where you consented to it. This notice does not change that agreement.
